Production Management Graduate Assistant (2024-2025 Academic Year)

Position Description

The Production Management Graduate Assistant is responsible for the coordination of Student Recitals, scheduling of Production Management hourly employees including students and contingents, coordination and supervision of events as assigned, and administrative office duties. This is a 20 hrs/wk position in the Production Management Office of the Production Department for The Clarice Management.

Duties

Recital Coordination

  • Provide advanced coordination of School of Music recital events in The Clarice venues including staffing, training, supervision, venue preparation, use of equipment and supplies.
  • Ensure adherence to established recital policies and procedures to ensure successful recitals.
  • Work in close collaboration with the Recital Scheduling Coordinator and Recital Guest Experience
  • Coordinator in the advancement of student recital events.
  • Practice open communication with resident faculty, other staff and across departmental lines

Crew Scheduling and Management

  • Using scheduling software, schedule student and contingent hourly employees for the
  • Production Management office.
  • Exercise authority to train production management staff, discipline and supervise student employees within the Production Management Staff.
  • Work with the Production Coordinators to schedule and coordinate regular crew training meetings
  • Assist Production Coordinators in new crew onboarding processes by organizing initial orientation meetings.

Other Event Coordination

  • Serve as the Production Coordinator for School of Music fellowship ensembles, auditions, juries and recordings as well as assigned rental events as needed.
  • Plan and coordinate cost aspects of an event or performance; negotiate with a presenter, performer, or organization to ensure the highest quality of performance.
  • Plan for events by working collaboratively with and providing advice and guidance for users of
  • The Clarice venues throughout the planning and execution of events.
  • Follow and instruct others on the rules and regulations of the Clarice Smith Performing Arts Center.

Other administrative duties will be assigned as needed. This job may require some evening and
weekend work. Schedule to be determined in coordination with supervisor.

Qualifications

Minimum

  • Candidate must be dependable and be willing to take initiative.
  • Must have a high attention to detail, effective oral and written communication, excellent organizational skills, and have the ability to work independently as well as supervise others.
  • Demonstrated ability to work independently and follow complex written and oral instructions,
    even during busy times.
  • Ability to work on multiple projects at once and adhere to deadlines.

Preferred

  • Performing arts and/or music experience.
  • Experience overseeing personnel in a theatrical and/or orchestral environment.
  • Demonstrated proficiency using Microsoft Office, Google Workspace, etc.
