Job Summary

Artist Services Associates are responsible for advancing and coordinating the onsite visits by artists and professional guests participating in performances, engagements, residencies, commissions, or other initiatives by The Clarice Smith Performing Arts Center’s Artistic Programming team. Artist Services Associates maintain effective hospitality coordination, promote a positive educational environment, and ensure consistency of service to artists and partners.

This position will work up to 40 hours a week including morning, evening and weekend shifts. This opportunity is most suitable for freelancers and those with flexible schedules.

Primary Duties

  1. Working independently and in coordination with Clarice staff to advance the logistics of artist visits, programs, and festivals including the National Orchestral Institute + Festival in late May to early July of 2024.

  2. Serving as on-site manager on duty and The Clarice representative for artists visits and other events, including greeting artists and escorting them to engagements, rehearsals, performances, and events.

  3. Building and maintaining collaborative working relationships with other Clarice staff including Production Management, Guest Experience, and Artistic Programming. 

  4. Building and maintaining itineraries for visiting artists in coordination with Production Management staff.

  5. Working with local hotel partners to secure accommodations for visiting artists.

  6. Scheduling local ground transportation and/or providing transportation in University/State vehicles.

  7. Supporting hospitality services including the placement of meal orders, grocery shopping and distribution of food.

  8. Managing the setup of non-performance spaces in support of artist needs, including dressing rooms, green rooms, rehearsals, storage and other needs to ensure smooth operations and comfort for visiting artists.

  9. Coordinating artist merchandise sale needs with the Guest Experience department. 

  10. Providing on-site training, guidance, and direction to student staff.

  11. Scheduling student staff and coordinating support from Clarice staff.

  12. Organizing expenses by projecting artist hospitality and travel costs, tracking expenses and reconciling individual show budgets.

Duration

Duties will begin Monday, May 20, 2024 conclude in August, 2024, with the potential for renewal during the 24-25 academic year. Estimated schedule is 40 hours per week, including morning, evening and weekend shifts. This opportunity is most suitable for freelancers and those with flexible schedules.

Qualifications

Minimum

  • High School Diploma or equivalent.
  • Valid driver’s license with good driving record
  • Experience working in the hospitality industry and/or arts related field
  • Superior communication and customer service skills
  • Ability to manage multiple projects simultaneously.

Preferred

  • Associate’s or Bachelor’s degree in performing arts or related field.
  • Experience working in an educational setting.
  • Experience in implementing operating policies and procedures
  • Demonstrated experience working with students and/or training, and development of event staff
  • Knowledge of current practices and procedures in professional performing arts company management and/or artist hospitality
  • Strong organization and management skills.
