Recital Checklist

1 - Scheduling

Schedule your recital.
Start Process: As soon as possible, but no later than six (6) weeks prior to your dress rehearsal.
Main Contact: The Clarice Recital Scheduling Coordinator, clarice-scheduling@umd.edu

Review the SCHEDULING section of the Recital Policy Manual.
Prepare yourself so that you can have the best concert experience.

Complete the Recital Scheduling Form.
Deadline: At least six (6) weeks prior to your first dress rehearsal. With this form, you specify your top three preferred dates for your dress rehearsal and recital, and you indicate preliminary equipment needs so that the Scheduling Office may choose the best dates.

Receive a tentative confirmation email from the Recital Scheduling Coordinator.
Email Recipients: You and your Studio Teacher.
With this email, you learn which of your preferred dates are available to you. From the date that the email is sent, the Recital Scheduling Coordinator provides a temporary two (2) week hold on the dates/spaces for you to complete the scheduling process.

Ask your Studio Teacher to reply to the email.
Deadline for Studio Teacher Response: Within two (2) weeks of the tentative confirmation email being sent.
Confirm that the dates are correct and that your Studio Teacher is available to attend the recital date. You are responsible to ensure that your studio teacher responds in a timely manner.

Receive a final confirmation email from Recital Scheduling Coordinator.
Recipients: You and your Studio Teacher.
​Your recital is now scheduled! Please review this email to ensure that your dress rehearsal and recital are booked for the correct dates and venue. Save this email because it contains important information you will need later.

Plan a reception (OPTIONAL)
Start Process: Varies. Typically you should start at least three (3) to eight (8) weeks in advance.

Review the RECEPTIONS subsection of the Recital Policy Manual.
You are responsible for knowing and following the policies on caterers, alcohol (No alcohol is allowed.), room capacities, etc.

Reception location:

  • The Clarice Student Lounge (Above Applause Café):
    Available for recitals in Gildenhorn Recital Hall.
    No reservations possible. This space is available on a first-come, first-served basis only.

Deadline: Refer to section above.
Please include the date and time of your recital in your initial correspondence.

Receive a confirmation email from the Recital Scheduling Coordinator.
Please review this email to ensure that you have your desired space for the appropriate time. Note: If you requested a space managed by UMD School of Music, your confirmation message will come from that office instead of the Recital Scheduling Coordinator.

Reschedule your dress rehearsal or recital. (OPTIONAL)
Start Process: As soon as possible. Events cannot be rescheduled within three weeks of the event.

Complete the Recital Reschedule Form (click to download).

Have your Studio Teacher sign your completed form.

Deliver the completed and signed form to Recital Scheduling Coordinator.
You may either deliver the form in person or scan and email the form.

Receive a final confirmation email from the Recital Scheduling Coordinator.
Email Recipients: You and your Studio Teacher
You will receive a confirmation that your rescheduled dates have been approved and booked

Cancel your dress rehearsal or recital. (OPTIONAL)
Start Process: Any time, but requests received within three (3) weeks of the event incur penalty fees.
Main Contact: The Clarice Recital Scheduling Coordinator, clarice-scheduling@umd.edu**For only last-minute cancellations within 48 hours of your Dress Rehearsal or Recital email events-theclarice@umd.edu ASAP!

Complete the Recital Cancellation Form (click to download).

Have your Studio Teacher sign your completed form.

Deliver the completed and signed form to Recital Scheduling Coordinator.
You may either deliver the form in person or scan and email the form.

Receive a final confirmation email from the Recital Scheduling Coordinator.
Email Recipients: You and your Studio Teacher
​You will receive a confirmation of your cancellation.

2 – Production

Request equipment, staffing, and production support.
Start Process: At least four (4) weeks prior to your dress rehearsal.
Main Contact: The Clarice Recital Production Coordinator, theclaricerecital@umd.edu.

Read the PRODUCTION section of the Recital Policy Manual.
Make sure you know the differences between standard and non-standard equipment.

Receive a link to the Recital Production Form.
You will find a link to the Recital Production Form in your final confirmation email for your dress rehearsal and recital. Four (4) weeks prior to your dress rehearsal, the Recital Production Coordinator will resend the link to you, if you have not completed the form already.

Complete the Recital Production Form.
Deadline: Three (3) weeks prior to your first dress rehearsal.
You must complete this form to ensure your event is staffed properly and that the necessary equipment is available. For example, you will define the order and timing of your pieces, instrumentation, piano moves, etc.
Note: This is your only chance to request non-standard equipment.

Receive a confirmation email from the Recital Production Coordinator.
You will receive this confirmation within one week of submitting your Recital Production Form. Please review the email to ensure you have the equipment, staffing, and production support you need. The earlier you identify discrepancies, the better we can ensure the success of your recital.

Request additional standard equipment, if applicable.
Deadline: By the end of your first dress rehearsal.
You may request additional standard equipment until the end of your first dress rehearsal.

3 – Guest Experience

Request Guest Experience support.
Start Process: At least three (3) weeks prior to your recital.
Main Contact: The Clarice Recital Guest Experience Coordinator, theclaricegx@umd.edu
