Description

The Summer Staff for the National Orchestral Institute + Festival (NOI+F) works closely with the festival director and Clarice administration to assist with the daily functions of the festival. Duties vary and include assisting with logistical support for the NOI+F orchestras and numerous chamber ensembles, as well as assisting with faculty and artists’ hospitality. 

Job Summary

The Operations Assistant Manager is responsible for supporting and/or supervising the onsite visits by artists and professional guests participating in the National Orchestral Institute + Festival. The Operations Assistant Manager maintains effective hospitality coordination, promotes a positive educational environment and ensures consistency of service to artists and partners. This position will work 30 - 40  hours per week. This position will require significant support during the morning, afternoon, evening and weekend shifts. They will  serve as a manager on duty and assist festival administration with distributing festival logistical information to festival participants, faculty and artists and direct participants to the appropriate festival administrator as necessary. 

Primary Duties

  1. Maintaining accurate knowledge of detailed festival schedule and orchestrating daily staffing needs.

  2. Greeting artists and escorting them to engagements, rehearsals, performances, or events.

  3. Managing the setup of non-performance spaces in support of artist needs, including dressing rooms, green rooms, rehearsals, storage and other needs to ensure smooth operations and comfort for visiting artists.

  4. Transporting faculty, artists and occasionally students to festival venues including performing spaces, offsite engagements, and hotel accommodations using a 12-passenger State vehicle (transportation training will be provided). 

  5. Providing general assistance during orchestra rehearsals and concerts to the conductor, festival participants, artists and administration staff, help to assemble and break down spaces for NOI+F  social events and other maintenance aspects and provide staff support during NOI+F engagement events.

  6. Providing on-site guidance and direction to Artistic Operations Assistant staff.

  7. Supporting hospitality services including the placement of meal orders, grocery shopping and distribution of food.

  8. In addition to the Artist Services Coordinator, serving as on-site manager for NOI+F activities. 

  9. Collaboration with other Clarice staff including the Manager on Duty, Production Management, Guest Experience, and Artistic Planning. 

Minimum Qualifications

  • High School Diploma or equivalent.
  • Valid driver’s license with good driving record.
  • Experience working in the hospitality industry and/or arts related field.
  • Superior communication and customer service skills; Ability to manage multiple projects simultaneously.
  • Must be able to lift 25 lbs. 

Preferred Qualifications

  • Associate’s or Bachelor’s degree and/or a background in classical music, the arts, or school administration.
  • Experience in implementing operating policies and procedures.
  • Demonstrated experience working with students and/or training, and development of event staff.
  • Knowledge of current practices and procedures in professional performing arts company management and/or artist hospitality.
  • Strong organization and management skills.

Duration

Duties will begin part time on Tuesday, May 15th (starting date negotiable) with training and will conclude on Monday, July 3, 2023. Estimated schedule is 8-12 hours of work per day, 5 days per week. Frequent evenings and weekends will be required, in addition to daily work.
